By using the Platform, creating an account, or submitting a job application, you agree to the collection and use of information as described below.

1. Information We Collect

We collect the following categories of personal information:

  • Identity data: Full name, email address, phone number, and ZIP code.
  • Professional data: Resume, work history, skills, and keywords you provide.
  • Application data: Cover notes, screening responses, interview records, and placement history.
  • Voluntary diversity data: Gender identity, race/ethnicity, veteran status, and disability status — provided at your option for compliance reporting only.
  • Usage data: Browser type, IP address, pages visited, and referring URLs, collected automatically via server logs and cookies.
  • Communications preferences: Your opt-in or opt-out status for email and SMS messages.

2. How We Use Your Information

  • To process and manage your job applications.
  • To match your profile with relevant job openings.
  • To allow employers and staffing agencies on the Platform to contact you about opportunities.
  • To send you interview invitations, scheduling reminders, and status updates.
  • To send you text (SMS) messages if you have opted in (see Section 4 below).
  • To improve Platform features and ensure security.
  • To fulfill legal obligations and resolve disputes.

3. Sharing Your Information

We share your information only as described below:

  • Employers and staffing agencies: When you apply for a job or opt in to the talent network, your profile is shared with the relevant employer.
  • Service providers: We use third-party vendors (including Twilio for SMS delivery, and email delivery providers) solely to operate the Platform. These vendors are contractually prohibited from using your data for their own purposes.
  • Legal requirements: We may disclose information when required by law or to protect the rights and safety of users.
  • We do not sell your personal information to third parties.

4. SMS / Text Message Communications

If you provide your mobile phone number and check the SMS opt-in box on our application or sign-up forms, you expressly consent to receive text messages from Hiring Autopilot and the employers or staffing agencies using our Platform. These messages may include:

  • Job alerts and new position notifications
  • Interview scheduling reminders and confirmations
  • Application status updates
  • Orientation and onboarding information

Message frequency: Message frequency varies depending on activity. You may receive up to 3 messages per day.

Message and data rates may apply. Standard carrier message and data rates may apply depending on your mobile plan.

How to opt out: You can opt out at any time by replying STOP to any text message you receive from us. You will receive a confirmation that you have been unsubscribed and will not receive further SMS messages.

Your consent to receive SMS messages is not a condition of using the Platform or of being considered for any employment opportunity.

5. Data Retention

We retain candidate data for the period specified by each employer organization (typically 90 days after your last activity, unless you request earlier deletion). You may request export or deletion of your data at any time by contacting us.

6. Your Rights

  • Access & portability: Request a copy of all personal data we hold about you.
  • Correction: Ask us to correct inaccurate information.
  • Deletion: Request that we delete your entire record from the Platform.
  • Opt-out: Withdraw your consent to email or SMS communications at any time (reply STOP to any SMS, or contact us).

7. Cookies

We use essential session cookies to keep you signed in and to maintain security. We do not use advertising or tracking cookies.

8. Security

We implement industry-standard security measures including encrypted data transmission (HTTPS), hashed passwords, and access controls. No system is 100% secure, and we encourage you to use a strong, unique password.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new effective date. Your continued use of the Platform after changes are posted constitutes acceptance of the updated policy.
